Lodging

Guest Room
Each room has two double beds and a private bath. Linens and towels provided.

$90 per room

Cabin
Bunkbeds with dorm-style bathroom, electricity, heat, and AC available August through mid-May. Each cabin sleeps 18 to 28 guests. Minimum of eight guests required per cabin. Linens and towels not provided.

$35 per person

RV Site
Water and electrical hookups, bath house, and dump station.

$30 per site

Tent Site
Bath house available. Primitive camping also available.

Facility Use Fee

There is a facility use fee of $10 per person per night for overnight guests and $12 per person per day for day guests. There is a minimum facility use fee of $200 for day groups to use meeting spaces.

There is a minimum facility use fee of $200 to use an included meeting space. Included meeting spaces may include Young, Saffran, 500 Room, Yerkes, Ravine, Dearing, 601G, and/or the Scott Board Room.

High Ropes Course / Climbing Wall - $30 per person for 3 hours; minimum $800

Low Rope Course - $25 per person for 2 hours, minimum $600

Campfire - $35

Pool and Pool Pavilion - $500 per plus lifeguard at $50.
You may bring your own lifeguard; simply provide us with documentation.

Reservation Policies

RESERVATIONS

Episcopal groups in the Diocese of Florida may make reservations up to three years in advance, and returning groups may reserve their same dates up to two years in advance. For other groups, reservations may be made beginning January 2 of the year preceding the event. Rates for groups reserving more than one year in advance cannot be guaranteed. (See rates section below for details.)

When reservations are made, Camp Weed will hold the appropriate spaces for that group. Changes to participant numbers should be made as soon as possible. Numbers may be reduced by up to 30% without penalty up to 30 days prior to the scheduled event. Numbers may be increased up to 7 days before the scheduled event if space is available.

 

CHECK-IN/CHECK-OUT

Prior arrangements for early or late check-in/out should be discussed with the Business Manager before arrival.

Check-In: Guest check-in time for lodging starts at 4 pm. Check-in is at the Office unless otherwise arranged. Lodging assignments, keys, and property maps will be provided. If you will arrive after 6 pm, please discuss other check-in arrangements with our Business Manager.

Check-in for meeting spaces will be noted in the guest agreement.

Check-Out: Guest check-out for lodging is at 11 am. To check out, please turn off the lights, close your door, and return room keys to the office.

MEAL INFORMATION

Standard mealtimes are

  • Breakfast                     8 AM

  • Lunch                            Noon

  • Dinner                          6 PM

Dietary Accommodations: Special dietary requests may be accommodated if Camp Weed is notified in advance. These include gluten-free, vegetarian/vegan, and allergy requests, such as dairy and nuts. Please reach out with any questions about specialty diets.

Meal Minimum Policy: A minimum participant count of 25 has been established for food service. (This number may be reached if two groups are being served simultaneously.) If group numbers fall below that minimum, your group will be charged for a total of 25 participants for each meal served.

Alternate Mealtimes: Alternate mealtimes may be requested at the time of booking if the group is not sharing the property with another group and may only be changed within the hour of the standard mealtime. Camp Weed may request a mealtime change if it is in the best interest of multiple groups being served.

Outside Catering and Food Trucks: Outside caterers and food trucks require pre-authorization and will be charged an additional fee.

Coffee / Tea Service: Coffee and hot tea are available 24/7 during your stay in Dearing Lounge.

PAYMENTS

Group leaders are responsible for collecting payments from their group and making deposits and balances for the group or requesting that Camp Weed set up online registration. If Camp Weed handles registration for your group, there will be a service fee of $5 per guest added to your balance due.

We accept check, ACH, cash, debit, and Visa/ MasterCard/ Discover/ American Express. There will be a 3% service charge for credit and debit card payments.

DEPOSITS

A 50% deposit is due to secure reservation. Space will be held until the deadline noted in the guest contract, when it will be released if the signed contract and deposit have not been received or alternate arrangements made.

At its discretion, Camp Weed may request a security deposit for damages and cleaning, which may be returned if no property damage occurs or extra cleaning is required.

 

CANCELLATION AND REFUND

Your 50% deposit is non-refundable. In the circumstances of unforeseen life events, such as serious illness, death in the family, catastrophic weather, etc. we may work with you to reschedule your event within one year of your initially planned date of arrival.

30 days before your event – Notify us if you need to release any lodging or meeting spaces. Up until this point you may release up to 30% of the lodging and meals you have reserved without penalty. After this time, you are responsible for full payment for the spaces you have reserved.

7 days before your event – Your balance is due. If you are reserving meals. Please let us know if you have any dietary needs, restrictions, or allergies. Notify us if there are any changes to meal counts. After this time, you are responsible for the full payment of any meals you have reserved.

FINAL BALANCE

Arrangements for additional fees incurred during your retreat must be made before checkout.

RATES

Calendar year rates are typically set by September of the preceding year. For contracts sent prior to September of the year preceding an event, Camp Weed reserves the right to raise lodging and facilities rates by up to 6% per year and meal rates to the new standard rate based on market prices.

While Camp Weed rarely changes the price of meals after rates are set for the year, in the event of a significant increase in food costs within our region, there may be a relative increase in the costs of prepared meals.

Sales taxes are set by the state of Florida. Occupancy taxes are set by Suwanee County.

 

INSURANCE

Groups are required to provide a certificate of liability insurance with policy limits equal to or exceeding $1 million, naming Camp Weed as an additional insured for the extent of their visit. If a group does not have liability insurance, it must purchase an endorsement from Camp Weed’s carrier, which is valid for one year, beginning from the first visit date.

 

AGE REQUIREMENTS

Camp Weed will not enter into a retreat agreement with persons under age 21. Proof of age may be required.

 

PETS

All registered service animals are welcome in all buildings at Camp Weed. Please make sure your service animal is identifiable as a service animal.

A $250 fee will be charged for unauthorized pets.

PARKING AND DRIVING

We recommend you park your car and walk while on property; however, when driving on Camp Weed property, please obey the posted speed limits and signs.

 

LODGING ROOMS – AMENITIES AND CLEANING

For guests staying three nights or fewer, staff will not enter to clean your room unless specifically requested. For guests staying four or more nights, we offer a mid-stay room freshen (remove trash and freshen towels) unless specifically requested not to.

Any unusual room cleaning charges will begin at $50.

 

RECREATION

All activities are at your own risk.

  • The lake is open for registered overnight guests to fish depending on weather conditions. Catch and release only.

  • Use of the pool or the boats requires reservation. A lifeguard is required. A fee applies.

  • Use of the high and low ropes course requires reservation. A signed release form from each participant and a Camp Weed facilitator are required. A fee applies

  • Campfires must be requested in advance. A fee applies.

  • Dearing Lounge, the ball field, and all hiking trails are available to all registered overnight guests unless they have been privately reserved. Advance notice will be provided at check-in if an area is reserved for a private function.

  • When summer camp is in session, guests must stay on the conference side of the bridge.

TOBACCO

For the health of all our guests and staff, all buildings are smoke-free and tobacco-free. This includes cigarettes, cigars, e-cigarettes/ vaping, smokeless tobacco, and the like. Please use tobacco products only in designated areas outside and away from building entrances and dispose of your cigarette butts, cartridges, and other related trash in appropriate locations.

 

ALCOHOL

Camp Weed does not have a liquor license to serve guests alcoholic beverages. Guests are welcome to provide their own beer and wine to enjoy during dinner or in their reserved spaces. We ask that our guests drink responsibly and ensure that only those of legal age consume alcoholic beverages. Open containers are not permitted on the grounds or by the waterfront. Consumption of alcohol while boating or swimming is not permitted.

 

LIABILITY

Guests assume financial responsibility for any loss, damage, or destruction to Camp Weed property or equipment. Charges for excessive cleanup will be assessed to the guest, and a damage deposit may be required at the discretion of the Executive Director.

CAMP WEED PROPERTY

Furniture, linens, blankets, pillows, and kitchen items – including dishes – should remain in their proper locations. If the furniture is moved to make your stay more enjoyable, please return it to its original location before your departure. You may use blue painter’s tape to adhere things to walls in your meeting spaces. Please do not tape or use putty on any walls.

QUIET TIME

Quiet hours are from 10 PM until 7 AM.

PHOTOGRAPHS

The photographs or likenesses of guests of Camp Weed may be used for publicity or other purposes without compensation or other consideration. Guests may request in writing that their photographs or likenesses not be used in this fashion.

 

RIGHT TO REMOVE PERSONS

Camp Weed reserves the right to remove any persons from the facilities or premises who, in the sole discretion of Camp Weed staff, are unauthorized or who are creating a disturbance, or who are jeopardizing the health, safety, and/or welfare of our guests.

 

GROUP PURPOSE

Camp Weed reserves the right to terminate this agreement if, in the sole discretion of the Camp Weed staff, your activities are incompatible with the mission and purpose of Camp Weed & Cerveny Conference Center.
